Invoice tracking and collections for professional services

Built in Quebec, Paymely follows every fee invoice until it's paid. Reminders go out by email or SMS, written in your firm's voice. For a more delicate account, your team picks up Paymely's virtual phone and calls the client without leaving the screen.

Built for:
  • Accounting firms
  • Law firms
  • Marketing, design or web agencies

Your reminders go out in your name: Paymely is not a collection agency.

The cost of paying late

Why do your fee invoices get paid late?

Worried professional looking at unpaid invoices
11.6 daysaverage late-payment delay on Canadian small-business invoices, first quarter of 2026. [1]
93 daysmedian for a law firm to turn its work into cash collected, in 2025. [2]
71%of agencies get paid late on at least one invoice in four. [3]
45 daysafter the client receives the bill: a CPA can't sue before then, and a lawyer's client can request conciliation within that window. [4] [5]

A client who pays late has often just forgotten. The real problem is time: every reminder written by hand comes out of your billable hours.

From file to payment

How does Paymely track your receivables?

  • A word before it's due

A polite reminder a few days ahead, so no invoice slips through the cracks.

  • Retainers and recurring fees

Monthly bookkeeping, agency retainers, trust deposits: each period is tracked on its own.

  • Each Interac e-Transfer, matched to its invoice

The AI recognizes it when it arrives; someone at the firm confirms, and a paid invoice drops out of the reminders.

  • A tone that follows the delay

Friendly at first, firmer later. For a large invoice, a payment arrangement can go out on your terms.

  • Text replies, on the file

Julie replies “paying Friday”: her answer shows up on her client profile.

  • Virtual phone

The call starts from the profile, right in the browser, with no handset to set up. The length of every call is logged on the file.

  • Your invoices, imported as they are

Client name, amount, due date, invoice number: every column of your export becomes a tag you can drop into your templates.

Questions from firms and agencies

How do my invoices get into Paymely?

With a simple export from your billing or accounting software. We do the first import with you in one meeting, and there's nothing to install.

Are my client documents protected in Paymely?

Yes. Professional secrecy requires you to protect what the client confides in you [9]. Documents uploaded to their profile are encrypted, open only with your Paymely password and stay internal. Only the invoices you upload can go out with automated emails.

What if the client disputes the invoice or requests conciliation?

You remove the client from their sequence, which stops the reminders immediately. Every message sent and every SMS reply stays recorded on their profile, ready to produce if the dispute goes further.

How does Paymely know an invoice was paid by Interac?

The AI reads the Interac notice forwarded to Paymely, identifies the client by name, email or the transfer message, then submits it to your team. The invoice is only marked paid after your confirmation.

Can a client spread a large fee invoice over time?

Yes. If you agree on instalments, you assign the client to a recurring payment schedule and Paymely reminds them of each instalment. For an account that drags on, a settlement offer can also go out on the terms you set.

Is following up with your own clients regulated in Quebec?

Yes. A firm that follows up on its own invoices doesn't need a collection agent licence, but the practices prohibited by Quebec's Act respecting the collection of certain debts still apply to its messages: no threats, and no contacting the client's family or circle [10]. What your templates say is up to you; Paymely keeps the history of every send.
